Who this tool is for

Owner-led businesses that need a repeatable month-end handoff before relying on profit, cash-flow, receivable, payable, or balance-sheet reports.

A monthly close turns imported activity into reviewed records. The goal is not to make every balance look tidy; it is to reconcile controlled accounts, explain exceptions, preserve supporting evidence, and identify decisions that need an owner or professional.

Run the checklist in the same order each month. A consistent cutoff, preparer, reviewer, and evidence package makes unexplained changes easier to find than an informal review of the profit and loss alone.

Use the tool

Run the workflow in this order

  1. Set the period cutoff and collect every external statement.
  2. Reconcile cash and controlled accounts before reviewing performance.
  3. Resolve or log exceptions instead of forcing balances into catch-all categories.
  4. Compare core reports with the prior month and operating evidence.
  5. Save the close package, preparer, reviewer, open items, and completion date.

Evidence to collect

Review areaEvidence to retain or verify
ReconciliationStatements, reconciliation reports, outstanding items, and completion dates
Revenue and spendingInvoices, bills, receipts, deposits, processor batches, refunds, and credits
Balance sheetLoan statements, asset schedules, payroll liabilities, owner activity, and equity support
ReviewFinal reports, variance notes, exception log, preparer, reviewer, and unresolved items

How to interpret the result

A checked item means the evidence was reviewed, not merely that a bank feed connected. Keep unresolved differences on an exception list with an owner and due date.

Do not close by deleting, duplicating, or broadly reclassifying transactions just to remove warnings. Material corrections and uncertain balances should be escalated with the source documents intact.

This tool is educational software and workflow research. It is not bookkeeping, accounting, tax, legal, payroll, compliance, or financial advice.

Limits and escalation points

  • This workflow does not replace accounting, tax, payroll, or financial-statement review.
  • Some businesses require inventory, revenue recognition, job costing, consolidation, or accrual procedures not listed here.
  • Statement availability and processor timing can delay a final close.
  • The checklist does not set materiality or approve write-offs and adjusting entries.
